About BuildBrain

BuildBrain maps how work actually moves through small professional firms, then automates one loop at a time on the tools you already pay for. A person reviews what the AI prepares. You can stop after any step and keep what you've paid for.

Where the approach comes from

The founder's background is in architecture and construction. That work runs on drawings, sequences and sign-offs: you don't build until the plan is agreed, and every handoff has someone accountable for it. BuildBrain applies the same habit to office work. Draw the process first, agree what gets built, then build it so someone else can run it.

The pattern we kept seeing was firms buying AI tools before anyone knew which tasks burned hours, where the knowledge lived, or what should stay human. The tools changed every few months and the workflow stayed the same. Mapping first is the fix for that.

How BuildBrain works

  1. Map one process first. One piece of work, such as intake, invoicing or proposals, drawn step by step: who touches it, what they check and where it waits. See business process mapping examples for what these look like.
  2. Fixed scope, in writing. Before any paid work, you get the loop, the tools, the review step and what "done" means written down.
  3. Build on what you already pay for. Accounting software, practice or project systems, email, Microsoft or Google. New subscriptions come last, if at all.
  4. A person signs off. AI gathers, sorts and drafts. A named person approves anything that reaches a client, a supplier or your books.
  5. Documented handover. You get a written description of how the loop works, a manual fallback and a way to switch it off, so you aren't dependent on us.

We work remotely with firms across the US. A screen share and access to the tools involved is enough.

Who it's for

Founders and managing partners of owner-led firms of roughly 1 to 25 people: architects, engineers, contractors, law firms, accountants, studios and agencies. It fits best when the owner still signs off on most things, or just before a hire, when the person who knows how everything works is the bottleneck.

It's probably not for you if you want a company-wide AI platform rollout, or a long retainer with a large vendor. We take on a small number of firms at a time.

What we won't do

  • Recommend tools before the process is mapped.
  • Build anything that sends legal, tax or financial output to a client without a person reviewing it.
  • Lock you into custom systems only we can maintain.
  • Train someone else's model on your client files.

Frequently asked questions

What does BuildBrain do?

It maps one process in your firm, picks the one loop where AI saves time safely, and builds it on your existing tools with a review step and a written handover.

Do you work with firms outside your area?

Yes. All of the work is done remotely, with firms across the US.

How much does it cost?

The first map is free. After it, we agree a fixed scope and price in writing before any paid work starts. If you want to understand your AI software costs first, see what AI really costs a small firm.

Do we need new software?

Usually not at first. Most first builds connect tools you already own.
