Microsoft Copilot Cost for a Small Business
Microsoft 365 Copilot Business is an add-on priced per person, on top of a Microsoft 365 business plan you already pay for. The list price is $25.20 a seat billed monthly or $21 billed annually, with an $18 first-year promotional price that runs to Dec 31, 2026. Whether that's money well spent depends on who actually works in Word, Excel, Outlook and Teams all day.

Worked examples: what Copilot seats cost
Simple arithmetic on the add-on price only, for hypothetical firms. Add your existing Microsoft 365 plan cost on top.
| Seats | Monthly billing ($25.20) | Annual billing ($21) | Promo price ($18) |
|---|---|---|---|
| 1 seat | $25.20 a month / $302.40 a year | $21 a month / $252 a year | $18 a month / $216 a year |
| 3 seats | $75.60 a month / $907.20 a year | $63 a month / $756 a year | $54 a month / $648 a year |
| 5 seats | $126 a month / $1,512 a year | $105 a month / $1,260 a year | $90 a month / $1,080 a year |
| 10 seats | $252 a month / $3,024 a year | $210 a month / $2,520 a year | $180 a month / $2,160 a year |
| 25 seats | $630 a month / $7,560 a year | $525 a month / $6,300 a year | $450 a month / $5,400 a year |
The gap between buying for everyone and buying for the few who need it is usually bigger than the gap between billing options. A hypothetical 10-person firm that licenses 3 heavy users instead of all 10 on annual billing pays $756 a year instead of $2,520.
How it compares with other AI seats
From the same Oct 12, 2026 price check on our AI cost page:
- ChatGPT Business standard seat: $25 monthly or $20 annually, from 2 users (OpenAI).
- Claude Team standard seat: $25 monthly or $20 annually, minimum 2 members (Claude Help Center).
- Google Workspace Business Standard: $14, with Gemini in Gmail, Docs, Sheets and Meet included in the plan itself (Google).
The headline seat prices are close. The real difference is where the AI works: Copilot sits inside your Microsoft documents, mail and meetings, while a standalone chat seat sits beside them.
When Copilot is worth it for a small firm, and when it isn't
Likely worth it
- The person lives in Outlook, Word, Excel and Teams, and your files are in OneDrive or SharePoint where Copilot can reach them.
- They spend real time on meeting summaries, first drafts, email triage or pulling figures out of spreadsheets.
- You can name what they'll use it for in the first month, and someone checks after 60 to 90 days whether they did.
Probably not worth it
- Licensing everyone "to be fair." Unused seats are the most common hidden AI cost.
- Your firm mostly works in Google Workspace, or in specialist software (CAD, practice management, accounting) where Copilot doesn't reach.
- The same people already pay for ChatGPT or Claude and use those daily. Paying for both is usually duplication.
- You expect it to automate a whole process. Copilot helps individuals work faster; a repetitive loop such as invoice processing or contract drafting from templates usually needs a mapped workflow too.
A sensible test: buy a few seats for the heaviest Microsoft users, set a review date, and keep them only if they're used. Our AI cost calculator lets you add Copilot seats alongside other tools and API usage to see your full monthly bill.
